Music Committee
• All music events for the festival are to be cleared and organized through this committee.  
• Plan the music schedule.
• Identify locations for music performances, get appropriate permits.
• Identify all required equipment including power needs.
• Work with logistics committee for setup needs.
• Identify potential bands, groups, individuals to do performances.
• Negotiate the performance fees.
• Create the performance contracts.
• Manage the contracts.
• Other requirements as needed to ensure all the music for the Festival is coordinated.


Vendor Committee
• Identify potential vendors for the Festival; look for both local and regional vendors; work with organizers of other festivals for ideas.
• Create a vendor contract or modify current one.
• Working with the logistics team; create a vendor map; laying out locations and numbering scheme
• Make sure you are selling specific locations identified by number, best locations should pay more.
• Try not to put similar products side by side
• Send out requests for vendors;   Send out letters early
• Vendors need to put a deposit down to save a space. 


Fund Raising Committee
• Identify Potential Festival Donors; create a mailing list.
• Design a Donor Request letter and FAQ, explaining levels of donation, what they receive in return, How to make payment, etc.   
• Design a tracking process for receiving donations, that each thing they are supposed to receive does, in fact, get done.
• Partnering with the marketing committee to ensure there is consistency.
• Checks can be made to the City of Newburgh with Newburgh Illuminated in the memo field.
• Organize and host fund raising events with help an input from other committees.


Marketing Committee
• Bring marketing ideas to the Festival Board meetings.
• Create flyers, posters, mailers, handouts, Website materials, Newspaper ad and press releases.
• Define dates for distribution of marketing materials and then create a project time line for creation, printing, etc.
• Work with the Board to identify appropriate distribution methods.
• All marketing materials for each committee needs to be cleared. through this committee to ensure consistency of message and design.
• Work out contract with printers, printing schedule, etc.


Logistics & Setup Committee
• Responsible for all setup needs, mapping of where things go, etc
• Ensure appropriate number of porta-potties are available
• Ensure trash cans are located EVERYWHERE. This is a great opportunity to teach people not to litter.
• Ensure all electrical needs are identified and addressed.
• Ensure all security requirements of identified and met; including police and/or auxiliary police or hired security.
• Set up a volunteer tent to host volunteers and meet their needs for the event.
• Set up for musicians like platform or backdrop.


Program/ Events Committee
• The committee is responsible to talk with other organizations. through the city and encourage these organizations to participate in the Festival.
• Work with organizations to get their events in the Festival Schedule.
• Manage all organizational contacts for two-way communication between organization and Festival Team.
• Work with marketing team to get information in a timely manner to include in organization information into marketing materials.
• Work with Logistics team to ensure all logistics are worked out.


Children’s Activities
• Identify groups and people who will create activities for the children to participate in.


Arts Committee
• Identify artists that want to show their work.
• Coordinate all art showings and locations.
• Decide if art is to be in one place or in various locations.
• Work with marketing committee to ensure artisan efforts are in the marketing materials.
• Work out needs with the logistics committee.


Performing Arts Committee
• All Performing Arts events for the festival are to be cleared and organized through this committee.  
• Schedule Planning.
• Identify locations for music performances, get appropriate permits.
• Identify all required equipment including power needs.
• Work with logistics committee for setup needs.
• Identify potential performers, groups, individuals to do performances.
